Scheduled automations let you send messages or perform actions on a recurring basis. You set a time, choose how often it repeats, and pick which guests should be included.
To create a scheduled automation, select Schedule as your trigger type in the automation builder. You'll configure three things: when it runs, how often it repeats, and who it targets.
Choose the time of day for your automation to run. This uses your organization's timezone.
Choose how often the automation runs:
Daily — runs every day at the scheduled time
Weekly — runs once a week on a specific day
Monthly — runs once a month (on a specific date, the first or last weekday, or the last day of the month)
Custom — runs at a custom interval (e.g., every 2 hours, every 30 minutes)
Choose which guests your automation targets. You can select one or more of the following — selecting multiple options sends to guests matching any of them:
Checking in today — guests with confirmed reservations arriving today. If a guest has already been manually checked in, they won't be included in this group (their reservation status changes from Confirmed to Started once checked in).
Checking out today — guests with active stays departing today. If a guest has already been checked out, they won't be included.
Currently in-house — all guests who are currently checked in, regardless of their arrival or departure date.
Guests with tag — all guests with a specific tag, regardless of reservation status.
Good to know: "Checking in today" only includes guests whose reservations are still in a Confirmed status. If your front desk checks someone in early, they'll move to "Currently in-house" instead. Keep this in mind when scheduling automations for later in the day — some guests may have already been checked in by the time the automation runs.
At the bottom of the trigger configuration, you'll see a summary of your automation's schedule and audience — for example, "Runs daily at 2:50 PM — Sends to guests checking in today and guests checking out today." Use this to double-check your setup before saving.
