Your Hello Hotel phone number is the single number guests use to call and text your property. It belongs to your organization — not to any individual team member — so your communication history stays intact regardless of staff changes.
During onboarding, you’ll select a phone number for your organization. You can search for numbers by area code to find one that matches your local market. Pick one that looks clean and recognizable to your guests.
Your plan includes one phone number. Additional numbers can be added later for separate departments or properties.
Your Hello Hotel number handles both voice calls and SMS text messages on a single line. When a guest calls or texts this number:
The call or message appears in your conversation screen for your whole team to see
The guest is automatically matched to their contact record and reservation (if connected to your PMS)
Your team can respond from the app — the guest sees your hotel’s number as the caller ID, never a personal phone
Each phone number has its own settings, accessible under Phone Settings when you select the number in the sidebar:
Routing — who gets called and in what order when a call comes in. See Setting Up Call Routing.
Calling tree — an optional phone menu (press 1 for front desk, etc.). See Setting Up a Calling Tree.
Audio & Greetings — voicemail greetings, call greetings, and ring tones
Call recording — toggle inbound call recording on or off
Spam screening — filter suspected spam calls to voicemail
If you need additional numbers — for example, one for the front desk and another for housekeeping — you can add them under Settings → Phone Numbers. Each additional number has its own settings, routing, and team assignments. Additional numbers are billed as an add-on to your plan.
Pick a local area code. Guests are more likely to answer calls and texts from a number with a familiar area code.
One number is usually enough. Most small properties run everything through a single number. Add more only when you have a clear reason to separate communication channels.
