Your voicemail greeting is what callers hear when their call goes to voicemail. You can upload custom recordings, keep multiple versions for different situations, and switch the active greeting anytime.
Voicemail greeting settings are per phone number. Go to Phone Settings → Audio & Greetings → Voicemail to manage them.
Click Add Greeting to upload a new recording. Hello Hotel accepts MP3 and WAV files. Give each greeting a name so you can tell them apart — for example, “Standard Greeting,” “After Hours,” or “Sold Out.”
You can upload as many greetings as you need. Only one is active at a time.
From the list of greetings, click on the one you want callers to hear and set it as active. The active greeting is marked with a checkmark.
Switching is instant — as soon as you activate a new greeting, the next call that goes to voicemail will hear it.
Multiple greetings are useful when your message to callers changes based on the situation. For example, a property might keep greetings like:
Standard — your everyday greeting with hours and a callback promise
After hours — let callers know when you’ll be available and encourage them to text instead
Sold out / high season — mention that you’re fully booked but can help with future dates
Holiday / closure — special hours or temporary closure information
These are just examples — name and organize your greetings however makes sense for your property.
Swap the active greeting as your situation changes. There’s no scheduling built in — you activate the one you want manually.
Keep it short. 15–30 seconds is ideal. Callers want to leave a message, not listen to a speech.
Mention texting. Many guests prefer to text. A quick “You can also reach us by texting this number” in your greeting can reduce voicemail volume.
Record somewhere quiet. Background noise in a greeting sounds unprofessional. A quiet office or empty room makes a big difference.
Include your property name. Callers want to confirm they’ve reached the right place — start with “You’ve reached [property name].”
